JOB DETAILS:
DUTIES & RESPONSIBILITIES
• To Process all documentation on the project.
• Ensures that all archived documents are stored in compliance with relevant guidelines and regulation of the project.
• Review and update technical documentation.
• File Records in physical and digital records.
• Archiving files and ensuring all team members have access to necessary documentation.
• Create templates for future use.
• Manage the flow of documentation within the organization.
• Edit and check for accuracy of files.
• Ensure that all the documents are developed and managed in accordance with the Documentation Management System specifications.
• Participate in the implementation of the Documentation Management system, setting-up and explaining rules and procedures, jointly with concerned people in Headquarters.
• Follow and improve the Documentation Management system.
• Provide support (training, daily assistance, advises) in the use of Documentation Management System to the site team.
• Ensure documents are shared at key times to facilitate timely project completion.
• Controls the access to the project documents, establishes, and updates the document registers.
• Consistently reviews and updates project with the project manager and engineers.
• Ensure proper delivery and maintenance of all correspondence and other transmittals from stakeholders, Contractor and suppliers in a systematic way.
• Perform other duties as required by Project Information Manager.

Qualifications, Skills, and Experience
• Degree in Public Administration and in a related field or a certificate/training in administration with 5 years’ experience in construction projects document control operations.
• Minimum 10 years of experience in Documentation control and management.
• Proven work experience in Laboratory operations and procurement services with training in RAC’s (Health and Safety procedures) Advanced experience in document control, archiving systems like electronic Live links and New Prodom and document confidentiality compliance.
• Proficient in MS Power Point programs.
• Medium proficiency in the Information, Data & Document Management area. Understanding of Project Technical. Documentation Requirements and Deliverables.
• Working knowledge of Electronic Document Management Systems (Office 365 - SharePoint). Excellent writing skills, technical documentations, specifications, training materials, presentations, and others.
• Advanced user of MS Office suite of software (Excel, Word, PowerPoint, Access), Adobe Acrobat Pro. Working experience with generating Document Control reports/Statistics.
