JOB DETAILS:
JOB PURPOSE
Through your leadership you will make an important contribution to Imprint Hope’s work to serve children with disabilities and their families. You will have primary responsibility to manage Imprint Hope’s Facilities, Vehicles, and Logistics, ensuring operational excellence. You will lead a large and diverse team to ensure Imprint Hope operations tasks are completed in an effective, efficient and timely manner per Imprint Hope policies and procedures. You will work closely with the Imprint Hope Senior Management team to ensure the safety and security of staff and program participants, stewardship of resources, and compliance with applicable laws and donor requirements.

DUTIES AND RESPONSIBILITIES

Key Responsibilities
Manage Vehicle Pool and Drivers
• Train and supervise drivers
• Ensure vehicle maintenance and upkeep
• Ensure vehicle logs are accurately completed
• Coordinate travel and logistics plans; coordinate with third party vendors (drivers) as needed
• Prepare monthly summary reports

Manage IH Facilities
• Oversee regular cleaning, landscaping of facilities
• Ensure maintenance and repair of Imprint Hope facilities; coordinate with third party vendors as needed
• Supervise Cook and oversee Kitchen – ensure daily meals are prepared with high quality, timeliness, and cost-efficiency
• Ensure strong performance of night supervisor and provide on-call support
• Lead as Safety and Security Focal Point

Supervise Imprint Hope Security Guard Team
• Ensure maintenance of physical security systems;
• Conduct regular safety audits of IH facilities and vehicles
• Ensure safety supplies are in place in all IH facilities and vehicles
• Ensure adherence to IH security-related policies and procedures by all IH staff
• Lead Staff Training on IH policies/procedures related to safety and security
• Coordinate regular staff safety/security training (E.g. first aid, fire drills, etc)
• Flag concerns and Advise IH Senior Management on safety and security-related issues

Manage Supplies and Inventory
• Ensure stewardship of IH supplies (food, kitchen and cleaning supplies, medical supplies, office supplies) and manage system for request and dispersal of supplies as needed.
• Prepare monthly inventory reports and oversee regular inventory counts.
• Prepare timely and appropriate requests for supply purchase for action by procurement.
• Oversee IH mini-farm to coordinate labor, ensure delivery of supplies and inputs, coordinate planting and harvest, ensure stewardship of resources and harvested crops, etc.

Qualifications & Experience
Mandatory Requirements
• Bachelor’s Degree in relevant field (business, finance, administration, supply chain, etc)
• Experience can substitute for education
• Fluent English and Luganda speaker
• Basic Computer Skills – typing, email, Microsoft Word and Excel,
• Basic English-writing skills (ability to write basic sentences and paragraphs for emails, reports etc)
• Supervisory Experience (direct supervision of multiple labor-level employees)
• General experience in the administration and operations of an organization/business. Experience in one or more of the following specific areas is a plus:
• Experience coordinating logistics
• Experience managing vehicles/fleet
• Inventory management experience
• Safety / Security Management experience is a plus
• Experience with operations of an NGO is a plus
• Experience working with or knowledge about persons with disabilities is a plus
