JOB DETAILS:
Job Purpose
The overall purpose of the job is to create invoices for various customers in a timely manner, ensure they are all accurate and resolve any billing errors/discrepancies that may occur with strict adherence to the company policy
Key duties and responsibilities
1. Raise invoices for sales made to the company’s product distributors on a day-to-day basis against sales orders;
2. Perform day to day reconciliation of all distributor accounts to confirm existing stock levels, customer outstanding balances, payments falling due, and accounts positions as and when requested by customers;
3. Prepare a list of all open customer invoices on a day-to-day basis including action points/steps to be taken on the same and submit to the Accounts Supervisor Invoicing;
4. Promptly answer to any inquiries/issues/concerns raised by customers regarding invoicing in a timely manner;
5. Receive credit notes from distributors and forward the same to URA to ensure that they are processed, and balances settled;
6. Update and maintain records of accounting documentation by meticulously filing and archiving supporting documents as and when they accumulate in a sequential order that facilitates easy retrieval; and
7. Perform any other finance and administrative duties assigned by the Financial Manager from time to time.
Knowledge, experience and qualifications required
• Diploma in Accounting or related field.
• Minimum of 2 years working experience.
Technical & Behavioral competencies
• Knowledge of data entry for record keeping
• Customer relationship management skills
• Computer skills with proficiency
• Proficiency in QuickBooks or other accounting software
• Solid understanding of accounting and invoicing procedures
• Hands-on experience with spreadsheets and databases
• Excellent math skills with ability to spot numerical errors
• Excellent written and verbal communication skills
• Strong attention to detail to keep accurate accounting entries
• Good organizational skills
• Ability to track of invoices
• Great customer service skills
• Good interpersonal skills and ability to work with a team
