MSF is looking to recruit a suitable candidate for the position below:
Purpose:
This position is in charge of guaranteeing timely and efficient planning, organizing, overseeing administrative and logistical aspects for MSF’s intersectional, international, and local training activities hosted by MSF-Support Unit in Kampala (SUKA).
Accountabilities:
A. Plan and Organize the Intersectional training hosting activities:
1. Facilitates the Training Managers mandated to organize Learning & Development (L&D) events and ensuring proper and smooth implementation of on-site and off-site trainings hosted in Kampala by:
o Serving as a focal person for all training host requests and giving administrative support to all MSF sections. Collect key technical needs to ensure the proper implementation of activities in the best conditions, support the requesting section Headquarters with all the necessary information related to hosting training.
2. Managing the intersectional training activities Calendar according to the Training dates, the specific requests, and the organizational constraints, planning the logistical training and hosting requirements.
3. Providing adequate training venue options, required equipment, and support to execute International Training hosting activities like: Organizing and coordinating all site-logistical related activities (Airport pick up/ training sites set up/ tickets changes/ medical emergencies/ briefs etc.), forecasting and ensuring the availability of all required equipment (Public Address System and visualization systems, translation, vehicles, mobile hospital etc.) for a seamless rollout of training activities.
4. Managing the International training activity budget together with the final budget holder and finance department i.e., Yearly budget forecast, monthly budget follow-up and following up on billing and rebilling process.
5. Participating in peer-to-peer technical exchanges with Headquarters and regional missions on tools and process optimization linked to the organization of learning activities. E.g., event planning and tools for budgetization.
B. Manage Training hosting team:
1. Forecast and plan the team’s workload/task allocation throughout the year.
2. Set objectives, provide guidance, and appraisal to individual team member performance.
3. Collaborate with HR to manage the team’s career development.
4. Oversee the team’s well-being and efficiency (work-life balance, leave management, etc.)
C. Support with the organization of In-house training activities for SUKA:
1. Support the Personnel Development Manager (PDM)/HR team and other missions’ referents by organizing training venues and logistical items for face-to-face internal trainings according to MSF’s standards and procedures. Specifically, coordinate with the PDM, the CoM Doctors, and the Technical Referents for practical organization of the following events:
o Internal workshops.
o Regional workshops.
o Yearly themed events.
Education:
• Bachelors in Business Administration, Accounting & Finance, or Human Resource.
• Additional training in ToT is an added advantage.
Experience:
• At least two years’ work experience in a similar function.
• Experience in team management and coordinating learning activities is a plus, and good knowledge of MSF is a strong asset.
