JOB DETAILS:
Main Purpose of the Job:
The Sample Transporters will ensure the timely transportation of samples, results, and lab supplies between health facilities and testing Hubs/sites in Supported Districts.
Key Outputs
• Daily and weekly schedule of visits for couriers followed
• Hub or courier checked on a daily basis to pick up and deliver results
• Motorbike and other equipment well maintained
• Maintained comprehensive records of samples collected and delivered
• Timely distribution of EQA Samples ensured
• Weekly reports prepared and submitted to the Hub Coordinator
• Biosafety and infection control throughout the process ensured
Key Duties and Responsibilities
• Satisfactorily utilize the hub system by ensuring that scheduled daily and weekly visits are made
• to the hubs, Point of care testing sites, Post office, etc.
• Collect samples from the facilities and promptly deliver them to the Hub Laboratory or Point of care testing sites for testing in a timely manner.
• Check the testing labs daily, and promptly Pickup and deliver results from the point of care testing sites and the Hub laboratories to spokes sites supported within the different catchments. Transportation and management of samples in line with the national and international biosafety regulations
• Maintain utmost confidentiality and impartiality while performing the task of patient results, samples and any other information related during the transportation of results to spokes and hubs. Timely response and availability at the required facility whenever called upon to offer support. Management of motorbikes and other equipment including phones, safety gear and sample transportation bags for their safety and maintenance.
• Follow guidelines on Hub/POC sites sample and result documentation and ensure that this is done timely and accurately as a means of proper accountability.
• Maintain comprehensive records of samples collected, results picked and delivered, bike maintenance/repairs, and daily movements made.
• Ensure that timely servicing and Repair of the motorbikes is done by making timely reports on
• the status of the motorbikes and their performance.
• Ensure the security and safety of the motorbike, samples and self (always wear safety gear) during the sample transportation process.
• Work with the hub coordinator and DLFPs to ensure the timely distribution of External Quality
• Assessment (EQA) samples and return of results feedback.
• Prepare and submit weekly reports to the hub coordinator.
• Perform Electronic and manual tracking of samples
• Document and report any incidences and occurrences that may occur during sample and result transportation first to the Hub coordinator and the LPHS-Ankole technical teams for guidance and management of the incidence.
• Communicate (phone or physical) immediately to the Hub Coordinator in case of inability to move to the peripheral facilities or if anything happens which interferes with sample transportation.
• Keep a copy of a valid rider's permit at all times.
• Ensure biosafety and infection control are observed throughout the whole process of sample
• packaging, transportation, and reception.
• Support the HUB(s) in sample reception when necessary.
• Advise facility staff on the proper filing of shipment forms and packaging of samples.
• Participate in CME and other trainings.
• Any other duties reasonably assigned by the supervisor from time to time.
PERSON SPECIFICATIONS: Sample Transporters
• Minimum Academic Qualifications: Uganda Certificate of Education (UCE) or its equivalent from a recognized institution, Certificate in Laboratory Assistance/ Certificate-level training in laboratory techniques. A Certificate in defensive riding will be an added advantage.
• Minimum Experience and Exposure
• At least 3 years of riding experience with sample transportation is strongly preferred Minimum of two (2) years of HIV/TB clinical experience
• Familiarity with USAID regulations is desired
• Public health experience and familiarity with laboratory management principles
• Experience with knowledge-sharing technologies and social media
• Should have proof of Hepatitis B Vaccination
• Special Knowledge
• Knowledge of Laws, principles, policies, and regulations governing Laboratory Management is a MUST
• Knowledge of Traffic Laws and Regulations
Key Skills:
• Must have a riding permit/license with class A, Interpersonal Skills, Communication Skills, Negotiation Skills and Computer Skills.
• Other Qualities/Attributes: Quick judgment, Observation qualities, Integrity, Assertiveness, High level of confidentiality, and Professional maturity.
